Responsible for the management of contracts, including approval and any necessary changes that may be needed over the course of the contract length.

They will be responsible for preparing, examining, analyzing, negotiating and revising contracts in addition to maintaining firm-wide business licenses.

Ultimately, the role ensures all contracts conform to legislative requirements and meet company goals while providing processes and documentation changes to improve the system. 

Essential Duties and Responsibilities  include the following, other duties may be assigned:
  • Coordinate the contract process with Finance, Project Managers, Attorneys, Clients and Consultants.
  • Advise project teams on contractual requirements for construction, and potential legal implications.
  • Report status of current contract process to management.
  • Prepare project information contracts, etc.
  • File project related communications and documents electronically.
  • Assist in documenting and tracking all changes to firm wide contractual document templates and circulate to affected parties.
  • Review existing contracts for accuracy and to ensure compliance with project standards.
  • Establish and maintain approved contract database.
  • Assist in resolving problems and issues of concern between clients or consultants and firm.
  • Monitor all aspects of contract and insurance compliance.
  • Evaluate and report on risk management compliance.

Education and/or Experience:
  • Bachelor' s degree (B.A.) from four-year college or university; or five years+ related experience and/or training; or equivalent combination of education and experience.
  • Familiarity with commercial interior architecture and/or design firms preferred.
  • Proven attention to detail for contract review.
  • Advanced analytical skills.
  • Advanced verbal and advanced written communication skills.
  • Intermediate accounting and financial forecasting skills.
  • Proven ability to take responsibility for a project and to follow-up with involved individuals until all issues are resolved.
  • Comfortable operating in a team-oriented, collaborative work environment.
  • Must be a self-starter attitude with proactive, results-oriented focus; and willing and capable to assume additional responsibilities and proven ability to multi-task.
  • Proficient with all MS Office application skills.
  • Working knowledge of AIA Contract Documents software is required.
  • Familiarity with software such as Deltek Vision, Newforma and Bluebeam is preferred. 

  • This position requires up to 50% local travel between 3 Southern California offices.
  • Travel may include attending off site meetings and work sessions Mileage will be reimbursed at predetermined market rate.
  • Individual must possess a valid driver’ s license with a good driving record and have reliable transportation.
